Terms and Conditions

Tiny Turtles Swimming Limited Terms and Conditions 

Acceptance of the terms and conditions specified below will form a binding agreement between you and Tiny Turtles Limited for the duration of the contract.

Booking and Payment 

Bookings must be confirmed by online enrolment on the registration page of the SwimSoft Client Portal, a link to which will be emailed to new clients. Links can also be found on The Tiny Turtles Swimming webpage. All relevant information about parent/guardian and child must be entered accurately. 

Once registered, you may log into your account on the Client Hub portal at any time to check your details. Please inform us of any changes in your contact details as soon as possible.  This information is used for re-enrolment, posting awards and to contact you if lessons are cancelled for any reason. 

Payment must be made for the duration of the course (normally half a term) before the course starts. Failure to pay in time may result in your child losing their place on that and subsequent courses.

Following the competition of each course, your child will automatically be re-enrolled on the next course unless you advise us that you do not wish to continue. Again, payment must be made in full by the date shown on the invoice and prior to the start of the course. Again, if payment is not received by the course start date your child’s place will not be guaranteed. 

All payments must be made by Direct Debit using the secure GoCardless system. A link to GoCardless will be sent to you before your child starts their first course.

Any changes in your bank account details must be made in GoCardless prior to payment collection.  Tiny Turtles will send you a new link to GoCardless on request. 

Late Payments and Uncollected Direct Debits

If collection of your payment by Direct Debit fails, we will make another attempt to recollect the Direct Debit a day or two later. If we still can’t collect the payment, we will send you an email reminder so that you can rectify any problems with your bank. If after this we are still unable to collect payment, we will contact you via telephone or SMS message to discuss the problem. If after this, payment still cannot be made, Tiny Turtles reserves the right to cancel any future swimming lessons. You will however remain liable for any swimming lessons that have been taken without payment.

If you are experiencing any short-term difficulty in making your payments, please contact us and we will do best to support you and do our upmost to agree upon a solution.

Cancellations and Refunds

Cancellation by the Client:

By enrolling with Tiny Turtles, you agree to automatic re-enrolment on the next course unless you give notice of cancellation. The notice period is at least 4 weeks prior to the start of the next course. This is to allow time for your vacant place to be filled by another child.

If cancellation notice is received with less than 4 weeks to the start of the next course, you may be invoiced for any lessons that fall within the 4 weeks’ notice period, whether you attend them or not.

No refund will be made for mid-course cancellation at any time in the course.

No refund will be made for lessons missed by the swimmer for whatever reasons, including sickness.

Cancellation by Tiny Turtles

Tiny Turtles will endeavour to deliver all lessons that have been offered to your child. However, unforeseen circumstances may arise from time to time, such as the teacher being ill or pool failure at the premises. If we must cancel a lesson, we will inform you.

by email only for cancellations with 72 hours or more notice

by SMS text (followed by email) for cancellations with less than 72 hours’ notice

Please ensure that your contact details are up to date and that is added to your email contacts to prevent messages going to the junk mail folder.

If Tiny Turtles is forced to cancel a lesson, a credit will be provided which will reduce the payment required for the next course.

A refund will only be provided if your child has reached school age and is not able to enrol on the next course, or you have already given notice of cancellation.

Conduct and Concerns

All parents and guardians are expected to act in a kind and courteous way to Tiny Turtle staff, hotel staff and other swimming clients. We hope never to evoke this clause but obviously, unacceptable behaviour may result in cancellation of your swimming lessons without refund. 

If you have any concerns about the delivery of your lessons or about Tiny Turtle teachers, you must put your concerns to us by email. We will do our best to address your concerns in a polite, friendly and confidential manner.

Please also let us know about any concerns you may have about the swimming venue. We will pass these on to the relevant hotel manager and do what we can to get your concerns resolved.

Confidentiality and Privacy

Tiny Turtles keeps all your personal data on the SwimSoft software system provided by Morleisure, and your payment details are kept only on GoCardless. SwimSoft and GoCardless are recognised ‘mainstream’ service providers protected by up-to-date security systems. However, Tiny Turtles is not responsible for any security breeches caused by malicious hacking of SwimSoft or GoCardless.

Tiny Turtles will not divulge your personal information or email address to any third party without your explicit consent.

Tiny Turtles expects all its clients to respect the privacy of its staff and other clients. Personal information about staff and other clients gained during swimming lessons must not be passed on to any third party without their explicit consent.
