Booking
Once you book into a lesson your space is guaranteed for the foreseeable future as long as payments are up to date. Times and days may change dependant on the booking limitations. We will contact you to advise of any changes. Swimmers are automatically rebooked in to all lessons on a continuous basis.
Payments
All payments are made via Direct debit only and will be collected on or before the 1st of each month. The rate you are charged for your specific lessons is based on 12 monthly direct debits. Your monthly payment covers your lessons for that month If you miss a lesson for any reason, we do not provide a credit or refund at any time.
Cancellations
Should you wish to cancel your swimming lessons you can do so via the message facility on the Client Hub. You are required to give a calendars month notice. You will receive a confirmation message stating when your final Direct Debit will be collected and for how much. it is important to note your monthly fee is based on lessons over a 12 month period, if you cancel within that period your final bill will be caculated based on how many lessons you have had. Please note should you cancel your DD without following the correct notice and billing. you will have an admin charge of £15 added to your account along with the final payments due this will then be passed over to a third party collection agency after we have made two attempts to rectify the arrears with you. at any time if you have any arrears on your account all lessons will immeditly stop and you will be prevented from all making any future bookings.
Specific lessons cancellation
If you are unable to make a lesson for any reason please contact our admin office, we do not provide any credits or refunds for these missed lessons. We will, however, where we have cancellations we aim to offer you an alternative. This is dependant on space and not always possible. Any catch up lessons must be completed during the same month as the cancellation.
Lesson Duration & certificates
Private and group swimming lessons are normally programmed on a half an hourly basis during the course. Lessons for Under 3's are 25 minutes long. Term lengths vary in duration depending on holiday dates.
Stacy’s School of Swimming is a “Swim England” nationally registered swim school.
Assessments on our programme will be carried out on a continuous basis.
Certificates will be given out (three times a year (December, March and July). You can track your child’s lessons by logging into the Client Hub and going to rewards.
Medical Conditions
At Stacy’s School of Swimming we treat every swimmer as an individual and provide appropriate support according to their needs. All medical information is kept private and confidential and only shared with your swimmer’s teachers. If you/your swimmer has a medical condition you must notify us when completing the initial booking/joining procedure. Failure to do so can be dangerous and impede your swimmer’s progress. Please give as much information as possible and include ways in which we can adapt our lessons to help your swimmer with their swimming.
If you or your child wears glasses, please let us know – prescription goggles may be used by any swimmer with an eye condition.
If there are any changes to your or your child’s medical information, you must update us as soon as possible.
Being prepared for your lessons
Our car park is open Monday to Friday from 4.30pm until close and Saturday and Sunday all day. If you have lessons before this time, please use our pedestrian gate located on Broadstairs road. This gate will be closed at 4.30pm during the week so please exit via our car park entrance.
Swimmers should wear appropriate swimwear for their lesson. Baggy shorts below the knee are not permitted.
Swimmers with long hair – please ensure hair is tied back securely out of face.
Swimming hats should be worn during lessons-These are provided should you require one
Swimmers should bring their own goggles
All swimming aids are provided by ourselves should they be required.
Earrings must be removed for swimming lessons,
All shoes are prohibited inside our building. Please leave your footwear outside in the shoe racks provided.
The use of mobile phones is prohibited in the changing rooms
Arrival for Lessons
We ask that all swimmers are ready on poolside a few minutes before the start of their lesson. We do understand some lateness is unavoidable so if your child is late for their lesson, in the interest of safety, please wait until your instructor is ready for your child to enter the pool.
Changing Room Policy
Changing rooms are available at our pool, please note we do not have lockers so please do not leave valuable in the changing rooms. Children 8 years or older must use the relevant gender specific changing rooms. Changing rooms are male and female and parents are not allowed in the opposite sex changing rooms at any time. Please limit the time you spend in the changing rooms before and after your lessons and swimmers should arrive swim ready where possible.
Showers are provided but are for rinsing only and we ask that swimwear is worn while using them. We ask that talcum powder is not used in our changing rooms, when it gets wet it becomes very slippery and is difficult to clean up.
Child Safety
For all children’s safety we ask that children do not come to the pool straight from school without an accompanying adult or responsible guardian. If your child is of an age where they are able to walk to and from school without an adult, we are unable to take responsibility for any children outside of their swimming lesson time due to the safety of our other swimmers, with this in mind we would prefer all children to be accompanied by an adult. We ask all children are collected promptly at the end of each lesson. Children under 8 years old must have a parent or responsible guardian present during each lesson.
Data Protection
All personal details provided to and kept by Stacy’s School of Swimming are for our administrative purposes only and will not be passed on to any third parties. Any personal details will remain on file for a maximum of 3 years after discontinuing lessons with us, at which point they will be deleted. All medical information is kept private and confidential and only shared with your child’s teacher. All written correspondence (including email) between Stacy’s School of Swimming and yourself is confidential and should not be shared with anyone else, this is still applicable if you discontinue lessons with us.
Code of Conduct
Stacy’s School of Swimming do not tolerate abuse of any kind to our staff or any members of our swim school. All members must abide by our rules and terms and conditions. We reserve the right to end your lessons with us if we deem there has been any kind of abuse or violation of our rules.
